Introduction

FlowPM is a project tool built around a single idea: real work is a graph, not a list. Milestones connect to other milestones. Subtasks branch and join. Handoffs go between people, not down a row.

This guide walks through every part of the product — from getting your first workflow on the canvas to the finer details of role-based permissions and audit logs.

Quickstart

From signup to your first sign-off in three steps.

  1. Create your workspace. Pick a subdomain (e.g. your-team.flowpm.app) and invite your managers.
  2. Sketch your first workflow. Add milestones, connect them in any shape, assign each to a manager. Set deadlines as you go or come back to them.
  3. Let it run. Managers update status, attach files, and tick off subtasks. You get a live activity feed and a pulse-meter for the whole project.

Core concepts

Node

A milestone in your project. Has a title, status, assignee, deadline, subtasks, files, and an activity feed.

Edge

A directed connection between two nodes — usually meaning "this depends on that finishing first."

Subtask

A node-inside-a-node. Every milestone has its own mini-DAG of subtasks. Double-click to drop in.

Sticky note

Free-floating annotation on the canvas. Auto-stamped with author + timestamp. Five color variants.

Nodes & edges

Click N or the New node button to drop a milestone on the canvas. Drag it anywhere. To connect two nodes, hover over the source's right edge — a handle appears. Drag from that handle to another node.

Every node has four data layers: title & description (the what), status (Pending, In progress, Complete, Blocked), assignee + deadline (the who and when), and a live activity feed showing everything that's happened.

Selected nodes glow violet and reveal an inline activity preview right on the card. Click anywhere on empty canvas to deselect.

Subtask flows

Each node is itself a graph. Double-click a node (or the "Open subtasks" button in its detail pane) to enter its subtask flow. Subtasks are first-class — same status, same deadline, same assignee fields. They draw their own edges so you can see fan-out and join points within a single milestone.

Why a sub-flow, not a checklist?

Because subtasks depend on each other. "Anchor press" can't start until "Receive equipment" lands. A flat checklist hides that.

Roles & permissions

FlowPM has three built-in roles. Custom roles are available on Business.

  • CEO — full access. Can create workflows, invite managers, edit any node, and call attention to anything.
  • Manager — can edit only the nodes they own. They can change status, add subtasks, attach files, and comment.
  • Member — can tick subtasks, comment, and attach files on nodes they're assigned to. Cannot change structure.

When a CEO creates a workspace, they get a subdomain like astra-mfg.flowpm.app. Managers sign in there and only see the workflows they're a member of.

Notifications

FlowPM sends notifications in four channels: in-app, email, SMS, and push (mobile). Each manager configures which channels they want for which event types.

The events that fire notifications:

  • Call for attention — sent immediately on every enabled channel.
  • Deadline approaching — sent at 3 days out, 1 day out, and on the due date.
  • Overdue — sent on day 1 and then daily until status changes.
  • New assignment — sent once, when a node is first assigned to you.
  • @-mentions in comments — sent immediately.

SMS rate-limiting

To keep things humane, no manager gets more than 8 SMS pings per day from FlowPM. Extra pings collapse into a digest.

Sticky notes

Press S or click the sticky icon in the toolbar, then click anywhere on the canvas to drop a note. Notes are stamped with your name and timestamp. Drag them around. Double-click to edit. Hover and click ✕ to delete.

Stickies are a great way to leave context that doesn't belong on a node — "Q3 priority: ship by June 15," or "Theo, ping me when the conduit lands." Only CEOs and managers can add stickies; everyone can read them.

FAQ

Can I import from Asana / Jira / Linear?

Yes — Team and Business plans ship with CSV import and dedicated importers for Asana and Linear. Jira import is in beta.

Does FlowPM work offline?

Mostly. Canvas edits queue locally and sync when you reconnect. Notifications and file uploads need network.

Is there a mobile app?

iOS and Android apps are in TestFlight / Play Store beta. They're read-mostly today — full edit support lands this summer.

What happens to my data if I cancel?

You get a 60-day grace period. Export to JSON + CSV any time. After 60 days, we keep one anonymized backup for 30 days, then delete.

Privacy

We keep the data you put in FlowPM and we don't sell it to anyone. We use it to operate the product, send you notifications you've opted into, and produce aggregated, anonymized stats. We don't train AI models on your data without explicit consent.

Full privacy policy is at flowpm.app/privacy. Data is encrypted in transit (TLS 1.3) and at rest (AES-256).

Terms of use

Use FlowPM to run your projects. Don't use it to coordinate illegal activity, harass anyone, or store data that violates anyone's privacy. Pay your bills on time. We'll pay our bills on time. Either of us can leave anytime with 30 days' notice; data exports are guaranteed for 60 days after.
